Soft Play City UK Ltd - Terms and Conditions for Private Hire (Including Party, School, and Nursery Hire)
These Terms and Conditions govern the provision of services by Soft Play City UK Ltd, including bookings made for parties, schools, nurseries, and other private hire arrangements. By proceeding with a booking, you agree to the following terms:

1. Definitions

"we", "us", or "our" refers to Soft Play City UK Ltd franchisees trading as "Soft Play City {region}".

"you" or "your" refers to the individual making the booking and responsible for payment.

Deposit: 25% of the total price, payable upon booking for standard party hires.

Deposit: 50% of the total price, payable upon booking for Pop Up Party hires.
-
Equipment: All items supplied by us for use during the event.
-
Price: The quoted fee for the services.
-
Private Hire: Events hosted at a venue you have arranged, such as schools, nurseries, or private parties.

Premises: The location at which the services will be provided.
-
Services: Our delivery of children's soft play sessions or party activities.

2. Booking and Contract Formation
2.1 A binding contract forms when you complete our booking form and pay the Deposit.
2.2 We advise you to read these terms before booking. If you have questions, contact us.
2.3 Please retain a copy of these terms for your reference.

3. Service Delivery
3.1 Once booked, we will deliver services for up to 25 children on the agreed date. 3.2 We will always aim to:

Provide services with reasonable care and skill;

Comply with industry standards;
-
Follow all applicable laws.

4. Venue Responsibilities
4.1 If You Provide the Premises:
-
You must book and pay for the venue.
-
Ensure it suits 25–30 children.
-
Confirm venue access and notify us of any rules or restrictions at point of booking.

4.2 If We Provide the Premises (Pop-Up Parties):
-
We handle venue costs and set-up.
-
Access is permitted only at the allocated time.
-
Departure must occur promptly at the end of the session.
-
No additional décor or entertainment allowed without approval.
-
Waste must be cleared.
-
You are liable for any damage to the venue caused by your party.

5. Cancellations and Changes
5.1 If We Cancel:
-
We’ll provide as much notice as possible.
-
You will receive a full refund.

5.2 If You Cancel:
-
More than one month in advance: Deposit is retained by us.
-
Less than one month: We’ll try to reschedule at no additional cost.
-
If not rescheduled, the full price is retained.
-
These terms fall under the exemption from cancellation rights in the Consumer Contracts Regulations 2013.

6. Price and Payment
6.1 Prices vary per franchisee and are confirmed in writing or via the booking system at point of booking.

The base service covers two hours.
-
Additional time incurs £50 per 30-minute increment.
6.2 Payment Schedule:
-
Deposit (25%) due upon booking for standard paty hires.
-
Deposit (50%) due upon booking for Pop Up Party hires.
-
Remaining balance:
-
Standard party: 1 (one) month before event
-
Pop-Up Party: 1 (one) month before event
-

Overage charges must be paid immediately.
6.3 Late Payments:
-
Failure to pay on time may result in cancellation, with the Deposit retained.
-
Final non-payment will result in full cancellation.

7. Your Responsibilities you agree to:

Cooperate with our team and remain on-site.
-
Inform us of any additional entertainment at least 14 days in advance and provide proof of Public Liability Insurance.

Supervise children and ensure safe use of equipment.
-
Keep children away from equipment during setup/pack-down.
-
Ensure no food or drink near equipment.
-
Limit attendance to 25–30 children.
-
Obtain consent for photos/videos and use them for personal purposes only.
-
Take responsibility for any personal items at the venue.
-
NO FACE PAINTING IS PERMITTED
-
NO CONFETTI BALLOONS ARE PERMITTED

8. Our Responsibilities:
-
Use safe, certified equipment.
-
Adhere to health and safety regulations.
-
Clean equipment after each use.

9. Right to Refuse Service:
-
Anyone appears ill or intoxicated.
-
Attendance exceeds 30 children.
-
Full payment has not been made.
​
10. Limitation of Liability
-
We do not exclude liability for personal injury or death due to our negligence.
-
We are not liable for indirect losses such as profit or enjoyment.
-
Public liability insurance cover is capped at £5,000,000.

12. We reserve the right to update these terms:

To comply with legal changes

To correct minor errors (with 15 days’ notice unless the contract ends sooner)

13. Data Protection
We handle your personal information in accordance with the Data Protection Act 2018. Please refer to our Privacy Notice available on our website or upon request.

14. Notices
All correspondence should be directed to our registered office or email and addressed to Orron Bush.

15. Third-Party Rights
This contract does not grant rights to anyone not party to it under the Contracts (Rights of Third Parties) Act 1999.

16. Governing Law
These terms are governed by the laws of England, and any disputes will be subject to the jurisdiction of the courts of England and Wales.
